Welcome!

We are excited to kick off another year of the Grant County Fair! Here you will find all the forms needed to be prepared for the 2025 Fair! If you have any questions please do not hesitate to contact the staff.

We just can't thank you enough for your dedication and support throughout the years. Without the help of our Superintendents, volunteers, and 4-H leaders Fair would not be possible. You all are the backbone of our success and we continue to look forward to the years ahead!

Superintendents Manual

SUPERINTENDENTS MANUAL: We ask that you please review this manual thoroughly as there may have been changes in procedures, forms, and timelines.

EMERGENCY PROCEDURES MANUAL: Please check back for this document. It has not been updated for 2025.

WSDA GUIDELINES: Washington State Fairs Commission will be evaluating our Fair this year! This evaluation may be used to determine future funding from the WSDA. Please review these scoring guidelines in an effort to improve our overall evaluation.

Equipment Orders

Orders for tables, chairs etc are due by July 1st. The operations department cannot guarantee that your order will be fulfilled if received AFTER the due date.

Maintenance Requests

Please submit all maintenance requests via email directly to Jim no later than July 1st. The operations department cannot guarantee that your request will be fulfilled if received AFTER the due date. jcmckiernan@grantcountywa.gov

Ribbons & Supplies

We currently have a small supply of overstock available, along with any of your leftover ribbons from last year. Ribbon orders were placed on February 24th. If you submitted an order this year, your ribbons will be placed in your ribbon boxes by the Fair office once they arrive.

All supply orders are due by July 1st.

Judges Registration

Judges registration is now open at www.gcfair.fun/judges
To log in use code: Judges2025.

Alternatively, you may bypass the online registration by providing your judge’s contact information, including name, phone number, email, and mailing address. Please email this information to Becca at rmartinez@grantcountywa.gov.

Becca will send the required paperwork to your judge by mail or email prior to the Fair. This step is required for all judges, including returning judges, and must be completed by June 13th.

Decorating Budget & Reimbursements

Still Life Exhibit Buildings: Each Still Life Exhibit Building including the 4-H Building has been allotted up to $300 to decorate for Fair. This is on a reimbursement basis. Please coordinate with the Building Superintendent as each department must share the $300 budget amongst the entire building.

All purchases made by the Superintendent must have a receipt to be eligible for reimbursement.

Reimbursement forms are available in the Fair office. Forms including receipts must be submitted to the Fairgrounds Office no later than thirty (30) days from the date of purchase. All reimbursement claims must be signed or payment will not be processed.

Volunteers & 4-H Leaders

All volunteers and leaders who work 4 hours or more qualify for a discounted season pass. Volunteer passes are $5. All 4-H leaders and volunteers must be listed on the form below. Superintendents must turn this form into the office by July 15th. If a volunteer is not on your list they will not be permitted to purchase a pass. Authorization can only come from Superintendents directly.

Please be sure to track your volunteer hours on the Volunteer Sign-in sheet provided below. The office staff is responsible for reporting these hours to L&I following the Fair. This form is due by August 29th.
